Everything you need to know about planning wedding transportation during KC's peak spring and fall wedding seasons — from booking timelines to day-of logistics.
A comprehensive guide for couples, wedding planners, and coordinators.
Kansas City's most popular wedding months are in spring and fall. Here's what you need to know about each season.
March – May
Pro Tip: Spring weddings in KC often face sudden rain showers. Having a shuttle means guests aren't stranded in the rain waiting for rideshares — they walk straight from the venue to a warm, dry vehicle.
September – November
Pro Tip: Fall is peak wedding AND football season in KC. Shuttle availability is at its tightest September through November. Couples who book transportation early get priority scheduling and the best rates.
Follow this timeline to ensure your wedding transportation is planned, coordinated, and stress-free.
Every wedding is different. Here are the most common transportation setups we handle.
The most common wedding shuttle setup. Guests staying at the hotel block are shuttled to the ceremony/reception venue and back. Eliminates the need for guests to navigate unfamiliar roads, find parking, or worry about drinking and driving.
Ceremony at a church, cocktail hour at a second location, reception at a third. A shuttle keeps your wedding party and guests moving on schedule between venues without confusion or delays.
Welcome dinner Friday, ceremony Saturday, brunch Sunday. A shuttle service across the weekend keeps out-of-town guests comfortable and connected to every event without needing rental cars.
Reception ends at 10 PM or later. Guests who've been celebrating need safe rides back to their hotels. A dedicated shuttle makes the end of the night as organized as the beginning.
Different venue types require different transportation approaches. Here's what to consider.
Check driveway access for larger vehicles. Confirm turnaround space. Plan for weather contingencies — rain can affect loading areas.
Identify designated loading zones. Coordinate with venue for valet/shuttle staging. Account for one-way streets and event-day road closures.
Confirm gate access and entry codes for drivers. Check if there are vehicle size restrictions on private drives. Plan passenger loading areas.
Coordinate with church for approved parking/loading areas. Plan for guest flow between ceremony and reception shuttle boarding.
For spring (March-May) and fall (September-November) weddings, we recommend booking 3-6 months in advance. October Saturdays are the most competitive dates in KC and can book out 4-6 months ahead. Summer and winter weddings have more availability but should still book 2-3 months out.
A general rule: one 11-passenger shuttle handles about 50-70 guests with multiple runs between a hotel and venue. For 100+ guests or multi-venue weddings, two or more vehicles ensure everyone moves efficiently. We'll help you calculate the right number based on your specific timeline and locations.
At minimum, we recommend shuttling guests between hotel blocks and the venue — this is the biggest pain point. Many couples also provide transportation for the wedding party throughout the day. For destination-style KC weddings where most guests are from out of town, full guest transportation dramatically improves the experience.
We build flexibility into every wedding booking. If the ceremony starts 20 minutes late or the reception runs long, our drivers adjust accordingly. We communicate with your coordinator in real-time to ensure smooth transitions regardless of timeline changes.
